Ambu A/S is currently looking for a Personal Assistant to be based in Penang, Malaysia.
This position is reporting to the Vice President of Operations and plays a critical & strategic role. Rather than just handling basic clerical tasks, a PA in this position acts as a tactical partner, helping the VP keep the entire company’s day-to-day operations running smoothly.
As Operations covers logistics, supply chain, manufacturing and other internal workflows, the PA must understand the business's requirement in big picture.
Key responsibilities
Your main responsibilities will include:
1. Strategic Calendar & Gatekeeping
High-Impact Scheduling: Manage a complex, constantly shifting calendar. You aren't just booking meetings; you are prioritizing them based on the VP's goals and operational deadlines.
Gatekeeping: Act as the primary point of contact for internal teams (Senior Leadership team, Management staff and others) and external partners, filtering requests to maximize the VP’s focus on high-priority items.
2. Operational Support & Project Tracking
Cross-Functional Coordination: Serve as a bridge between the VP and various departments to ensure operational initiatives (e.g., launching a new facility, audits) stay on schedule.
Dashboard & KPI Monitoring: Help track operational Key Performance Indicators (KPIs). You may be tasked with extracting data or updating operational dashboards before major weekly reviews.
Meeting Lifecycle Management: Attend high-level operational meetings to take concise notes, track action items, and follow up with department heads to ensure deliverables are met.
3. Communication & Documentation
Briefings & Presentations: Prepare briefing materials, agendas, and high-quality slide decks for executive committee meetings or presentations.
Internal Communications : Draft clear, company-wide announcements regarding operational changes, safety updates, or policy rollouts on behalf of the VP.
4. Logistics & Expense Management
Complex Travel: Coordinate detailed travel arrangements, often involving visits to different operational plants, warehouses, or corporate offices.
Suggested candidate profile
Skills and experiences can be earned in many different ways, and we understand that the best fit for the role cannot be prescribed on paper. You are however likely to succeed in this position if you:
- Has a Degree / Diploma in Business Administration, Executive Secretarial Management or relevant education background.
- Has minimum 5 years experience in supporting VP/MD, ideally within operations, manufacturing, or logistics environment.
- Has experience working with Microsoft 365 tools (Outlook, Excel, Word, etc.). A.I. adaptable and tech-savvy.
- Able to uphold information confidentiality & sensitivity as this position handles sensitive data regarding company confidential information.
- High attention to details.
