Drive portfolio governance, shape portfolio management and act as Business Product Owner for Ambu’s project and portfolio management system, XPM.

Ambu A/S is looking for a Project Portfolio Management Specialist to join the Innovation PMO in Ballerup, Denmark.

Reporting to the Director, Innovation PMO, you will play a key role in strengthening how Ambu prioritizes, plans and governs its product development portfolio. You will drive portfolio governance, act as Business Product Owner for Ambu’s project and portfolio management platform (XPM), and translate insights from across R&D into system and process improvements that support better decision-making, portfolio transparency and execution.

Working with Project Managers, Line Managers, Finance and IT, you will connect decisions on product development projects and resources with how projects are planned, prioritized, and followed up.

You will join an Innovation PMO working across portfolio governance, planning, systems and process improvements. Together with colleagues responsible for other PMO systems and processes, you will help evolve how portfolio management is supported across R&D, ensuring governance, systems and planning processes continue to meet the needs of a growing organization.

The role offers the opportunity to deepen your experience in portfolio governance, business-system product ownership and cross-functional improvement, while working closely with stakeholders ranging from project teams and functional managers to senior leadership.

Key responsibilities

Portfolio Governance

  • Drive portfolio governance through Solution Steering Committee and Gate meetings, ensuring high-quality decision material, clear prioritization and effective follow-through on decisions
  • Review and challenge project change requests and business cases, ensuring robust decision material and alignment with key stakeholders before submission

Business Product Owner, XPM

  • Own the XPM development and maintenance backlog; prioritize requirements from project managers, line managers, portfolio management and Finance
  • Align updates with IT requirements and drive delivery through the IT system owner and XPM vendor
  • Train R&D users, maintain XPM guidance and align XPM use with Product Owners of other PMO systems

Cross-Functional Planning & Continuous Improvement

  • Facilitate quarterly cross-functional planning, resource alignment and project forecasting; record decisions, action owners and deadlines.
  • Onboard project managers and line managers on portfolio governance, submission requirements, approval mandates and escalation routes.
  • Identify recurring decision-preparation, planning and follow-up issues; agree and implement improvements with process owners.

Your experience and skills

You are likely to succeed in this role if you:

  • Have 5+ years of experience in project management, PMO, portfolio governance, project portfolio management or a related field
  • Have experience translating business needs into system requirements and supported testing and implementation
  • Have facilitated cross-functional planning and resource alignment and financial forecasting discussions
  • Have worked closely with business stakeholders, IT teams and/or system vendors
  • Can challenge incomplete decision material, secure follow-up across functions and communicate clearly in English
  • Have a curious and proactive mindset, with the ability to identify improvement opportunities and translate insights into practical solutions

Experience with business-system product ownership, XPM or comparable PPM systems, and MedTech or another regulated industry is an advantage.
